Office Manager (6 months contract)

Job Summary:
Reporting to the Facilities Manager, this role will involve tasks and administration to ensure the smooth running of the office.
Job Accountabilities:
Front of house
Welcoming all visitors/contractors to the office in a professional and engaging manner and arrange their sign in.
Responsibility for ensuring all meeting rooms are clean, tidy and set up as per requirements.
Facilities
Assist with ensuring that the premises, furniture and equipment is in good working order.
Designated contact for all contractors such as cleaning and landlords agents.
ssist with ensuring that suitable security procedures and measures are in place throughout the building.
Assist with ensuring that the kitchen/toilets are equipped with supplies and reorder as required.
Ensure supplier contracts are renewed as required.
Office Support
Ensure that all items delivered to the office are logged and distributed in a timely and efficient manner.
Manage petty cash – distribution/ record and balance every month.
To manage the receiving and opening of the daily post scan and distribute.
To manage hand deliveries in a timely manner.
Liaise with archive storage supplier to recall/return storage boxes, updating records as required.
Ensuring new colleagues receive an introduction to the building on their arrival and are set up with correct equipment supplied.
Maintaining any internal circulation lists such as fire lists, floor plans.
Responsible for stationery orders and checking off deliveries.
Register and maintain all door access for colleagues.
Arrange social events for the office liaising with the team for a summer event and Christmas Party.
Liaise with our Group IT department regarding any IT equipment needed.
Responsible for arranging out of hours work with contractors on a Saturday and being onsite during this time.
Provide administrative duties as directed by the Facilities Manager.
General
Ensure that health and safety policies are maintained - ensure first aiders and fire marshals receive training as required.
Maintain stock of the first aid kit.
Minimum Education and Experience
Minimum 5 years in an equivalent role.
Required Skills
A natural ability to communicate at all levels both within the Group and with external providers, agents and specialists.
