Job Summary:
To assist with the day-to-day running of new business within the trust administration department, before handover to the client administration teams. Dealing with a wide variety of tasks which will be of a complex nature, obtaining the various documentation required to establish/take on an entity or structure and the establishment of the entity or structure including all constitutional documentation. Act as an B signatory to client bank accounts and B signatory in respect of documentation required as part of establishment or taken on. Help develop and mentor more junior members of the trust department, in relation to new business processes. This job role is open to Manager or Assistant Manager levels.
Job Accountabilities:
The day to day running of new business clients. Tasks will involve:
Undertaking client discovery and application process.
Ensuring that statutory records are kept up to date and are accurately maintained at all times.
Reviewing and approving identification and obtaining all due diligence required for new business.
Preparation of all necessary internal documentation (DTE, preparation of minutes/resolutions etc.), liaising with the new business committee to obtain sign off for client acceptance.
Attend and present to the New Business Committee (Client Risk Committee) when necessary.
Entity or structure establishment/take on process, including incorporation, appointment of officers, registry updates etc.
Completion of the current stage 4 process, to undertake structure/client handover to the identified team who will provide ongoing admin services.
Review and sign off stage 4 checklists where applicable.
Responsibility to oversee the completion of the new business reporting, to present to RPs on a monthly basis.
Liaison with RPs throughout New Business process and to attend meetings with clients and intermediaries, when required.
Liaison with the clients and intermediaries both by telephone and in writing throughout the take on/establishment process (until our appointment and finalising any matters regarding the take on of the assets of the structure.
Assist more junior staff with queries/problems, within the Trust Department.
Assisting the Associate Director as necessary.
Monitor work given to other departments who are assisting with the New Business process.
Supervision of more junior members of the team (if applicable).
To attend BD meetings, when required.
Minimum Education and Experience
Educated to ‘A’ Level standard, or equivalent.
A minimum of 5 years’ relevant experience
Achieved or be studying towards a relevant professional qualification i.e., STEP Certificate/Diploma

A strong team player
Ability to work to deadlines with minimum supervision.
